Most RFP templates were written for a pre-AI market, so they test for features that no longer separate a great platform from an average one.
This checklist fixes that.

Where does the AI actually live: inside the core workflow, or in a separate module added through acquisition or integration? Ask: Was your AI built into the platform, or added later? Show me it working inside the workflow, not as a separate destination.
2. AI matching from your existing database.
Can the AI surface best-fit candidates from records you already own, not just source net-new? Ask: Can your AI rank candidates already in my database against a live role, and show the reasoning behind each match?
3. Job-change and freshness signals.
Does the platform flag when a candidate or contact changes roles, turning a stale record into a live opportunity? Ask: How does your system tell me when someone in my database moves or gets promoted?
4. Automated note-taking and data capture.
Does the AI capture calls and update records automatically, or does that stay manual? Ask: What happens to a candidate record after I finish a call, with no manual data entry?
5. Multichannel sequencing.
Can the platform coordinate outreach across email, LinkedIn, SMS, and calls in one workflow, natively? Ask: Is sequencing built in, or do I need a separate vendor for it?
Platform Fundamentals
These four are table stakes. A modern platform should score well on all of them without much thought.
6. Unified ATS and CRM.
Are candidate management and client relationship management one system, or two products stitched together? Ask: Is the CRM native, or a separate module I pay extra for?
7. Transparent pricing.
Is per-seat pricing published, or hidden behind a quote and module-based add-ons? Ask: What’s your published per-seat price, and what costs extra?
8. Reporting and pipeline analytics.
Can you see where the pipeline leaks, which recruiters convert, and what drives revenue, without exporting to a spreadsheet? Ask: Show me the reporting a manager uses weekly, out of the box.
9. Integrations and data portability.
Does it connect to your stack, and can you get your data out cleanly if you leave? Ask: What are the core integrations, and how do I export my full dataset on exit?
Trust and Fit
These three decide whether a capable platform actually works for your firm.
10. Data security and compliance.
Does it meet the standards your clients and regulators expect (SOC 2, GDPR), with role-based permissions? Ask: What certifications do you hold, and how are permissions controlled? (Confirm current certification directly; this is a requirement, not a nicety.)
11. Firm-type fit.
Is it built for your model: contingency, retained, executive search, or blended? Ask: Which firm types do you serve best, and can you handle both contingency and retained work in one system?
12. Implementation and support.
How long is onboarding, how steep is the learning curve, and what support backs it? Ask: How long until my team is productive, and what does support look like after go-live?
