About the Job:

The Office Administrator ensures the smooth day-to-day management of Summit headquarters. By utilizing their excellent communication and advanced organizational skills, the office administrator supports Summit office operations and manages vendors to ensure the offices are functioning properly, meetings are well planned, supplies are stocked, and employees are receiving the services they need. Looking for a minimum of 2-3 years experience.

Office Administration

  • Assist Lead Team, Directors, and Project Managers when needed, such as booking travel, ordering lunch, coordinating meetings, and assisting with other tasks.
  • Proactively maintains office supplies, including but not limited to, office food/drinks, cleaning supplies, kitchen supplies, bathroom supplies, office supplies, etc.
  • Collaborates with other administrative staff to arrange customer and “VIP” visitor meetings with Sales/Project Management/Lead Team. Facilitates a warm and positive experience by ensuring everyone has the resources they need to execute a high caliber meeting including: tidy conference rooms, special food orders, restaurant reservations, hotel gifts, and Summit gear.
  • Ensures ongoing budget compliance through collaboration with the Business Operations Team.


Vendor Management

  • Office Maintenance: ensures cleaning requirements are met according to the statement of work, and makes any additional requests for cleaning around the office.
  • Registered Agent: provides any necessary information to vendors as they coordinate annual reports, Secretary of State registration, and required licensing.
  • Low Voltage Licensing: Maintains compliance, continuing education, certificates of insurance, bonds, etc for company and individual licensing.


Skills and Abilities

  • Strong organizational skills with the ability to handle multiple projects simultaneously, and reprioritize frequently.
  • Experience with various office software and able to navigate systems and teach others with ease.
  • Models Summit values in all interactions with employees, visitors, clients, and vendors.
  • Operates with a sense of urgency and “hustle” while ensuring people are cared for and prioritized.
  • Ability to multi-task across multiple projects and manage fine administrative details.
  • Influences within the team and builds relationships outside of the immediate area to accomplish objectives.
  • Exercises individual judgment within defined procedures & practices to determine appropriate action.
  • Proficiency in Apple OS, ability to adapt to company tools (Google Docs, Sheets, Slack, Expensify, etc)
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem solving skills.
  • Excellent written and verbal communication skills.

Work Location: In person – this is not a remote position.

Job Type: Part-time, Monday-Friday during core business hours, 20-30 hours per week

Salary: starting at $25.00 — $30.00 per hour
