Examples include a candidate entering a stage, a job reaching a date, a contact changing companies, or a record entering a saved search. The trigger starts the logic; it does not define the resulting task, message, field update, or decision.

Most rule-based automations combine a trigger with optional conditions or filters and an action. The trigger answers “When should the system check this rule?” Conditions answer “Should this record qualify?” The action answers “What should happen next?” Keeping these parts separate makes automation easier to test, explain, and correct.

Automation triggers at a glance

A trigger starts an automation run when a defined event occurs.

Triggers may be event-based, date-based, scheduled, or tied to a dynamic record segment.

Filters narrow which records qualify after the trigger fires.

Actions perform the work, such as creating a task or sending a notification.

A precise trigger reduces duplicate activity, irrelevant messages, and missed follow-up.

How an automation trigger works

Detect the event

The system watches for a defined change. A recruiter may move a candidate into “Client interview,” a placement may reach its start date, or a job may enter a saved search for inactive assignments.

Identify the record

The trigger passes the relevant candidate, contact, company, job, placement, or deal into the automation. The workflow needs a clear record context so fields, owners, templates, and recipients resolve correctly.

Apply filters or conditions

Filters decide whether the automation should continue for that record. A stage-change trigger could apply across the database, then a client, job type, location, or owner filter could narrow the scope.

Execute the action

If the record qualifies, the automation performs its configured action. The action might create a task, update a field, move a candidate, send a message, add a person to a campaign, or notify a team member.

Record the result

Useful automation systems show that the rule ran, which record caused it, and what happened. This history helps operations teams diagnose missed runs, duplicates, configuration gaps, and downstream errors.

Common types of recruiting triggers

Stage-change trigger. Fires when a candidate, job, or deal enters or leaves a defined stage.

Record-creation trigger. Fires when a new candidate, contact, company, job, or deal is added.

Status trigger. Fires when a candidate is disqualified, a job closes, an offer is accepted, or another defined status changes.

Date-based trigger. Fires on or relative to a date, such as a placement start, replacement-period expiry, interview, or follow-up date.

Inactivity trigger. Fires when no qualifying activity has occurred during a defined period.

Saved-search trigger. Fires when a record enters or leaves a dynamic segment whose criteria have been saved.

External-event trigger. Fires after an accepted job-change alert, completed form, incoming integration event, or another supported signal.

Example from an agency recruiting workflow

An agency wants every client interview to produce a clear feedback follow-up. The operations lead configures a rule with “Candidate stage changes to Client interview” as the trigger.

The rule checks two filters: the job must be open, and the client-feedback owner must exist. The action creates a task for that owner with a due date two business days after the interview. A second internal notification goes to the account lead if the task becomes overdue.

The trigger is the stage change. The open-job test and assigned-owner test are filters. Task creation and escalation are actions. The interview decision remains with the recruiter and client.

For an executive-search firm, a saved-search trigger can support a slower, research-led workflow. When a target candidate enters a segment such as “Priority prospects with no contact in 90 days,” the system can create a research-review task. It should not send sensitive outreach without the consultant’s review.

Automation trigger versus condition and action

A schedule can act as a trigger. A delay usually changes when an action runs after the trigger. A pipeline stage is a record state; moving into or out of that stage can become the trigger.

Why trigger design matters

Automation quality begins with the event definition. A broad trigger can generate noise across many records. A narrow trigger can miss work that recruiters expect the system to handle. A trigger tied to inconsistent data will reproduce that inconsistency.

Trigger design affects candidate and client experience. A rejection message fired from the wrong status may reach a candidate before the decision is final. A missing placement-date trigger can leave a start-date check-in unscheduled. A duplicate trigger can create repeated tasks or messages.

Good design uses an observable event, stable data, a known owner, clear exclusions, and an action that can be reversed or corrected.

How to evaluate an automation trigger

Track the trigger as an operational control, not by raw run volume alone.

Expected-run rate: qualifying events that produced the expected automation run divided by all qualifying events.

False-run rate: automation runs later judged irrelevant or incorrect divided by total runs.

Duplicate-run rate: repeated runs for the same record and event divided by total runs.

Action completion: triggered actions completed successfully divided by attempted actions.

Manual correction rate: runs that require a person to undo, edit, or replace the result divided by total runs.

Time saved or delay reduced: change in administrative time or follow-up latency after activation.

Review missed events and incorrect runs separately. One points to under-triggering; the other points to broad logic, weak filters, or bad data.

Common automation-trigger mistakes

Using a broad event without filters. A stage change across every job may need client, service line, status, or owner filters.

Confusing the trigger with the action. “Send a reminder” is an action. The trigger must state the event or time that starts the rule.

Ignoring repeat behavior. Test what happens when a record leaves and re-enters a stage or saved search.

Triggering from unreliable fields. Standardize the field, ownership, and update process before using it as an automation dependency.

Skipping exception tests. Test closed jobs, duplicate records, missing owners, opt-outs, changed dates, and paused searches.

Activating without a run history. Operations teams need enough history to trace what fired and correct the rule.

AI and automation triggers

Rule-based triggers respond to defined events. AI-supported systems can interpret unstructured context, propose an action, or complete a multi-step task. The distinction matters: an AI output may need a confidence threshold or human approval rather than an immediate downstream action.

An AI summary can update a field that later becomes a trigger. Teams should check the extracted information before connecting it to external communication, candidate progression, or another sensitive action.

Where Recruiterflow fits

Recruiterflow Recipes combine triggers, optional filters, and actions. Current trigger categories cover candidate, job, company, and deal activity, including stage changes, applications, sourcing, disqualification, post-placement events, dates, and saved-search entry or exit. Actions can include tasks, messages, campaign enrollment, stage movement, notifications, and field updates.

Recruiterflow’s June 2026 documentation states that multiple triggers can be added to one Recipe. The action fires once per record when one of those triggers is satisfied, even when several match. Product Marketing should verify current trigger behavior and available actions before publication.

Practical checklist

Name the business event in plain language.

Identify the record that enters the automation.

Confirm the source field or stage is used consistently.

Add filters for scope, ownership, status, and exceptions.

Define repeat and re-entry behavior.

Test a qualifying record and a non-qualifying record.

Test missing data, closed records, and opt-outs.

Confirm the action, recipient, timing, and template.

Review run history after activation.

Track missed, incorrect, duplicate, and corrected runs.

Questions recruiters ask

Is a trigger the same as a workflow?

No. The trigger starts the workflow.
