Backed by well-known VC’s, this Series B startup is looking for an Executive Assistant to support their Co-Founder/Head of Operations. This is an exciting opportunity to join a 90-person team that is growing quickly with plans to 3x in size by EOY. In this role, you will provide admin support to the Co-Founder to prioritize calendars, manage communications, and arrange travel logistics. You will also provide personal support including travel, reservations, appointments, and gifting. Someone who thrives at curating unique experiences with a startup, scrappy mentality, and thoughtful and holistic approach to supporting their Executive. Responsibilities:
- Manage the Executive’s complex calendar, prioritizing appointments and ensuring seamless scheduling.
- Oversee and manage the Executive’s inbox, maintaining organized communication, tracking key tasks, and ensuring timely follow-ups.
- Attend meetings, providing concise summaries, tracking action items, and ensuring follow-through.
- Coordinate business travel arrangements, including flights, accommodations, and detailed itineraries.
- Plan and oversee personal travel, handling full logistics, reservations, and activity coordination.
- Serve as the primary liaison for internal and external stakeholders, facilitating clear and professional communication.
- Assist in planning and executing corporate and personal events.
- Manage personal tasks such as booking travel, coordinating appointments and reservations, and ensuring the Executive's wife and family are aligned.
Qualifications:
- Previous experience as an Executive Assistant or similar role, ideally in a fast-paced environment.
- Highly detail-oriented, organized, and proactive in anticipating needs and addressing them efficiently.
- Skilled in curating unique experiences and securing high-end reservations.
- Personable and engaging, with the ability to build strong relationships and represent the Executive professionally.
- Adaptable and thrives in fast-paced, evolving environments.
- Resourceful, creative, and able to solve problems independently with minimal direction.
